SENDING TEXT MESSAGE
APPOINTMENT REMINDERS
Using text message appointment reminders reduces the need for your office
staff to make confirmation calls and reduces the number of incoming calls from
patients confirming their appointments. The ability to create and send custom
text messages to your patients gives you the chance to add a personal touch
that patients will notice. Sending text message appointment reminders allows
you to interact with patients in ways they’ve become accustomed to outside of
the dental world.

Prerequisites
Before you begin sending text message appointment reminders, make sure patients have a
cell phone number entered in the Patient Information dialog box in the Patients module
(Figure 2). You also need to enable text messaging in the WebSync Wizard. Follow the
steps below to enable text messaging.
1. From any of the primary Easy Dental modules, click the EasyWeb button. e
WebSync Wizard appears.
2. Click Next at the Start screen.
3. Type your login information and click Next.
4. Select the Text Message (Cellular Phone) check box (Figure 3).
5. Click Next on each screen to advance through the Wizard. From the Finish
screen, click Finish to save your settings and close the Wizard.
If you have previously set up the WebSync Wizard, you must access it through the
EasyWeb toolbar. Click the EasyWeb button and select Settings > WebSync Wizard >
Correspondence. en follow steps 4-5 above.
e next time you run a WebSync, the Easy Dental settings will upload to the eCentral
Communication Manager.

Creating a Custom Text Message Template
e eCentral Communication Manager sends text message reminders to your patients.
You can use pre-dened message templates or you can create your own custom message
templates. Follow the steps below to create a custom message template.
1. In eCentral, mouse over the Communications tab and from the menu, click
Add/Edit Text Message.
2. Click Add to create a new text message.
3. In the Creating: Text Message dialog box (Figure 4), type a custom text message
of up to 120 characters.
4. Click Save.

Setting Up a Text Message Campaign
In eCentral, text messages are organized into campaigns (Figure 1). When you set up a
text message campaign, you select the template you want to send to patients and when
you want to send it. You can set up multiple text message campaigns if you want to send
multiple text message reminders about the same appointment. Follow the steps below to
set up text message campaigns.
1. From any of the primary Easy Dental modules, click the EasyWeb button to open
the EasyWeb toolbar. From the toolbar, click the Communications Manager
button to open eCentral.
2. In eCentral, mouse over the Communications tab and from the menu, click
Text Message Campaigns.
3. Click Add to open the Add Text Message dialog box (Figure 5) and select Enable
this text message.
4. Select Allow patient to conrm appointment from text message reminder.
Conrmed appointments appear in the eCentral Appointment Manager and
in the Easy Dental Schedule module.
5. Specify when eCentral will send the reminder (for example, one hour before
the appointment).
6. Select one of the pre-dened message or custom message templates, and click
Next to review your message.
7. Click Save.

Note: Patients can opt-out of receiving text message appointment reminders. To stop
receiving text message reminders, they must text STOP to 24742. At any time they can
opt back in to receiving them by texting SUBSCRIBE to 24742.
Viewing Text Message Reports
To view a list of text message appointment reminders you have sent, in eCentral, mouse
over the Communications tab and from the menu, click Correspondence Reports, and
then click Text Messages.
To view a list of patients who have opted out of receiving text messages, mouse over the
Communications tab and from the menu, click Correspondence Reports, and then click
Text Messages Opt Out.
To nd out how eective your text message campaigns are, in eCentral, mouse over the
Communications tab and from the menu, click Practice Statistics. e Text Messages
section of the report displays text message statistics.
